Inspection Coordinator - Registrar

What You’ll Be Doing:
  • Serve as key point person for Registrar team at 625 W 55th St warehouse location.
  • Track, manage, distribute priority Condition Report inspection list and needs to 625 warehouse operation daily.
  • Prepare condition reports for artworks, ensuring deadlines are met. Draft in house and Client Friendly Condition Reports. Update in house Condition Reports, Palette and Asana accordingly, uploading images.
  • Work side by side with Shipping, Imaging, Installations, Viewings, Art Fairs teams/activities to coordinate associated inspections simultaneously in order to reduce handling of artworks.
  • Work with other members of the Registrar team to analyze inspection data to track growth and generate growth projections.   
  • Monitor Incoming Acquisitions to gauge which new inventory can be inspected at time of Imaging. 
  • Assist with incoming cataloging as needed by Registrar team members. Assist with incoming consignment and loan agreements as directed by Registrar team members.
  • Work side by side with Preparator team to assess packing and develop new packing plans for incoming/outgoing works. Ensure barcode labeling applied to all new packing to strengthen internal inventory system. Capture new packed dimensions and framed dimensions.
  • Manage/monitor large quantity incoming/outgoing shipments that require inspections (exhibition & loan shipments/returns, new incoming inventory projects, art fair shipments, Pace to Pace consol shipments, consignment/approvals, etc.)
  • Assist with/collaborate with Shipping/Pace Gallery Truck/Registrar/Dealers Offices to assess and inventory large quantity incoming movements to ensure artworks are appropriately identified and barcoded.
  • Monitor Shipping movements internal and external to ensure all artworks receive outgoing inspections prior to onward movements. Update inspection lists as artworks move between gallery locations. Ensure all sold works leaving 625 have Pace inventory labels.
  • Anticipate high value movements to ensure inspections are prioritized in a timely manner.
  • Participate in daily (morning & afternoon) 625 meetings to gauge/assess warehouse activity to better advise/understand inspection needs and expectations. Plan inspection needs accordingly to see what will work best for operation. 
  • Coordinate with Viewings Coordinator to assess viewing room availability to better execute and carry out larger/higher quantity inspection projects.
  • Contribute to bi-monthly local and domestic insurance reporting.
  • Contribute to annual inventory assessment, local, domestic, international.
  • Participate in weekly Registrar team meetings.
  • Participate in larger Registrar team projects/exhibitions/needs to assist with entry point Registrar assistance in an effort to streamline execution and workflow in fast paced settings. 
  • Learn consistent Dealer Office & Shipping team needs and expectations to better advise and gauge Registrar team needs and schedule. Be open, flexible, responsive to on-the-spot changes, revisions, updates of needs to the minute/on the fly and deliver these instances to the larger 625 team and Management clearly to ensure action happens accordingly. 
  • Light art handling and simple packing experience helpful to better execute daily activity. 
  • Assist with framing assessments, framing knowledge beneficial. 
  • Assist with inventory clean-up efforts.
Projected Scheduling:
  • Position requires on-site participation M-F, with some days assigned to other Pace locations as needed
  • Provide coverage for Registrar team members when OOG (annual leave, sick leave, PTO, etc.)
What You’ll Bring:
  • Bachelor's degree in art history or a closely related field.
  • 2+ years experience in a museum, gallery, or similar cultural institution.
  • Condition Reporting experience and familiarity with conservation terminology required.
  • Knowledge of or interest in contemporary art/artists.
  • Proficiency with MS Office.
  • Collaborative, team player outlook.

Estimated compensation for this role is $66,500 - $75,000
