Senior Accounts Payable Coordinator

Pace Gallery, one of the world’s leading contemporary art galleries, is seeking a Senior Accounts Payable Coordinator to join our finance team. This role is integral in managing the financial operations related to payables, ensuring accuracy, and maintaining relationships with artists, vendors, and suppliers. The ideal candidate is detail-oriented, thrives in a fast-paced creative environment, and has experience handling complex accounts payable processes.

What You’ll Be Doing:

  • Oversee the full-cycle accounts payable process, including invoice coding, approval, and payment processing
  • Maintain Accounts Payable mailbox, follow up with approvers and vendors, assign outstanding mail to the AP team, coordinate AP related mail sent to the office
  • Reconcile vendor statements and resolve discrepancies in a timely manner
  • Reconcile AP aging on a regular basis, ensuring invoice payment due dates are properly reflected
  • Collaborate with internal stakeholders to ensure proper allocation of expenses and adherence to budget guidelines
  • Maintain relationships with vendors, ensuring timely and accurate payments while managing cash flow
  • Ensure compliance with tax regulations, including sales tax and W-9 forms for vendor setup
  • Coordinate with auditors during annual audits, providing necessary documentation for accounts payable
  • Identify opportunities for process improvements and automation within the AP function to enhance efficiency.
  • Train and mentor junior accounting staff, fostering a collaborative and supportive work environment

What You’ll Bring:

  • Bachelor’s degree in Accounting, Finance, or related field required
  • Previous experience with spearheading AP initiatives, ability to lead by example
  • 3+ years of experience in accounts payable, with at least 1 year in a senior role
  • Proficiency in MS Office and Microsoft Excel
  • Demonstrated experience with high-level accounting softwares, Sage Intaact a plus
  • Strong knowledge of GAAP and accounts payable best practices
  • Excellent organizational and communication skills
  • Ability to work independently and handle multiple tasks in a fast-paced, deadline-driven environment
  • Keen attention to detail and a commitment to accuracy

Estimated compensation for this role is $70,000 – $85,000.
