The Sales Assistant is responsible for assisting with all aspects of project coordination, research, timelines and overall management help towards needed deliverables. Main support will be on business projects, processes and systems to advance the gallery’s goals in an effective, efficient and most profitable manner.

Assistance with the implementation of a Global Sales Management System (inc CRM, weekly sales meetings, measurement, tracking and result analysis) and support on larger global development projects that present themselves (Asia Development etc). 

In addition, help with sales and artist-related activities including exhibitions, appraisals, loans, consignments, shipping, and general research projects. As the first level of the gallery Sales staff, you are open to participating in all facets of the gallery sales process. You will learn, and exercise independent judgment in, the above activities. These also include client cultivation and management, artist support activities of all types, general project management, and the systems required to handle all the above.

What you'll be doing:
  • All aspects of Project support management
  • Manage timeline, coordination and record keeping for projects, task forces and meetings
  • Assist BG in corporate wide communication with all other departments and locations. An important part of communication will be enhanced by your location in the NY office 
  • Assist BG in all phases of the sales process and all artist-related activities when needed
  • Monitor and maintain effective communication between BG, clients, fellow employees and artists.
  • Maintain invoice files and keep track of client payment reports, particularly with respect to BG sales.
  • Conduct extensive research on artworks including provenance, exhibition history, and bibliography, and report information to Dealer.
  • Assist Dealer with all incoming client and museum requests.
  • Manage and handle all general inquires.
  • Schedule appointments on Dealer’s behalf including client viewings. 
  • Manage mail, correspondence, Dealer’s calendar, receipt of and responses to invitations; make reservations for lunches and dinners with restaurants and clients.
  • Assist with BG’s travel and accommodations with external travel agent.
  • Maintain, monitor, and develop client database for Dealer.
  • Perform general duties such as filing, copying, ordering supplies, office organization, and mailings.
  • Additional responsibilities and projects as assigned.

What you'll bring:

  • BA Degree preferred in Art History.
  • experience in an Executive/Personal/Dealer’s/ Gallery Assistant role.
  • Basic understanding of an art gallery environment.
  • Dynamic planning ability.
  • Excellent communication and written skills required.
  • Must have excellent multi-tasking and detail-oriented abilities.
  • Ability to work well in fast-paced, deadline-driven environment.
  • Excellent computer skills including Microsoft Office, Outlook, and Microsoft Dynamics or similar CRM tool.
