Research and Archives Associate

Under the supervision of Research and Archives, Outreach Manager, the Research Associate provides and supports R&A in duties related to research and reference, collection maintenance, R&A research portal maintenance, and general instruction on using library/archives resources.


Research and Archives

  • Provides all aspects of reference, research, and information discovery services responding to requests made in multiple formats and delivering accurate, appropriate information in a clear, concise, and professional manner.
  • Follows R&A policies and procedures when responding to requests for information
  • Uses a variety of resources in multiple formats to answer requests for information
  • Conducts systematic literature searches on a range of topics to support gallery staff and programs
  • Conducts and verifies research at New York City libraries and institutions
  • Prepares and updates artists’ biographies
  • Prepares texts of interest, subject guides, and other ready reference materials to enhance staff and dealer knowledge of Pace artists, programs, and activities.
  • Demonstrates high level of efficiency in proofreading materials for spelling, grammar, punctuation, syntax, usage, and consistency.
  • Provides outstanding proofreading services for all designated projects.
  • Provides one-on-one and group instruction to staff and guest researchers in using library catalog, online databases, or other R&A resources.
  • Retrieves and shelves print and non-print materials.
  • Assists in scheduling and delegating Texts of Interest and maintaining the internal Texts of Interest archive
  • Maintains press archives and links located in R&A research portal, Inmagic and Presto.
  • Enter relevant press into exhibition archives and art fair archives in R&A research portal, Inmagic and Presto.
  • Maintains and improves the overall visual design of R&A’s SharePoint and Presto
  • Receives new library materials and enters bibliographic information into appropriate documentation.
  • Shelf reads and helps maintain the organization and general appearance of the library.
  • Prepares and processes new material for circulation.
  • Provides basic assistance to patrons on the use of computers and other technology or software.
  • Prepares the library/archives for opening and/or closing by performing such assignments as rearranging/ straightening chairs and tables, picking up materials for shelving, and replenishing depleted supplies. (e.g., pencils, pads, printer, and photocopy paper).
  • Assists with library programs and outreach initiatives.
  • Performs other related duties as required.
  • B.A. or M.A. in an arts-related field such as Art History, Arts Administration, Museum Studies, Library Science, or Media Studies, and knowledge or appreciation of art and architecture. 
  • Minimum 2 years of experience working in libraries, archives, art galleries, museums, or equivalent related experience.
  • Excellent written and verbal communications skills, including the ability to professionally and diplomatically communicate with artists, artist foundations and estates, museums, artist rights societies such as ARS and VAGA, and the general public.
  • Ability to work quickly, independently, accurately, and consistently.
  • Familiarity with Photoshop, Acrobat, and the Microsoft Office Suite, particularly Excel and Word.
  • Ability to work on both Mac and PC.
  • Physical requirements: ability to lift 50lbs.
