The Registrar brings a high level of expertise in all Registrarial and Logistical areas and is responsible for ensuring smooth, efficient, cost-effective project management and timely responses to dealer office requests, including for acquisitions, shipping and dispersals, consignment and loan agreements, condition reports, Fine Art insurance and all related administration. Daily responsibilities also include project planning, database management and liaising with internal departments as well as outside vendors, museums, framers, conservators, shippers and artists’ studios. The ideal candidate must have a minimum of five years’ Registrar experience with proven expertise in all aspects of domestic and international Fine Art shipping and be comfortable dealing with all media. A proven track record of excellent project-management skills, discretion and sound judgment, a positive attitude, and the ability to work well under pressure are essential.

What you'll be doing:
  • Catalogue artworks in inventory system and ensure records are up-to-date and accurate.
  • Obtain and vet artwork cataloguing information with artists/studios/estates/Research & Archives department and complete and process intake forms.
  • Facilitate Domestic and International sold, approval, Pace purchase and consignment shipping.
  • Maintain a working understanding of Swiss and international tax and customs regulations.
  • Collaborate with team to realize exhibitions, from planning through to shipping, installation, condition inspections and dispersals.
  • Perform artwork condition checks and ensure Palette records are up-to-date for packed dims, hardware, labels, inscriptions, etc.
  • Draft client friendly condition reports.
  • Serve as inventory and records point-person for assigned artists/estates.
  • Assess and advise as needed on the safety and effectiveness of packing, suitability of mode of transport and economy of shipments.
  • Follow each shipment from start to finish and act as a Pace Geneva point person for shipping agents, vendors and clients. Log and upload appropriate documents to Palette when necessary.
  • Properly code and submit vendor invoices for payment in a timely manner.
  • Correspond with staff, artists/artists’ studios, collectors, institutions, vendors and conservators.
  • Collaborate with relevant staff to troubleshoot and record artwork installation specifics and draft instructions/guides.
  • Contribute to and track relevant expenses for regional Registrar, Shipping, Exhibitions and Art Fairs budgets.
  • Manage dealer and client expectations as they pertain to costs and deadlines.
  • Actively identify and implement ways to improve team function and communication.
  • Maintain big-picture, long-term view of all projects and ensure that day-to-day function is in sync with greater gallery goals.
What you'll bring:
  • BA required in Art History, Studio Art or related field
  • Bilingual in French and English
  • Five (5) or more years of experience working for either a museum, fine art gallery, auction house, or art shipping agent; must have proven experience booking diverse shipments, trouble-shooting complex packing and shipping issues and juggling multiple projects at once with the ability to effectively prioritize.
  • In-depth knowledge of Registrarial best practices and procedures including knowledge of safe art handling, packing and condition reporting required.
  • Comfortability with and knowledge of particulars for booking air, truck and ocean shipments.
  • Must possess excellent knowledge of Swiss tax and international insurance and customs regulations, as well as import and export documentation.
  • Must have strong knowledge of the gallery world and of modern and contemporary art; experience working with artworks of varying media is a plus.
  • Must be professional, polished and articulate with a flexible, cooperative attitude.
  • Must be able to effectively interact with and gain the confidence of clients, artists/artists’ studios, vendors and staff.
  • Must have excellent interpersonal, communication and problem-solving skills.
  • Must be extremely detail-oriented, organized and confident with managing projects, and excellent with taking initiative and following through.
  • Must be proficient in Word, Excel, and Outlook.
  • Strong work ethic with an ability to manage heavy workload while efficiently and effectively prioritizing responsibilities to meet deadlines and deliver results.
  • Ability to manage budgets and keep detailed records.
