Pace was one of the first international galleries to establish outposts in Asia where it operates permanent spaces in Hong Kong and Seoul.The Head of Events is responsible for managing the events team in executing the planning, development, coordination, and implementation of all activities related to events for Pace Gallery. The postholder will direct events strategy in close coordination with the Head of Client Relations and will facilitate mutually beneficial exchanges between Sales and Communication departments in order to ensure successful execution. The ideal candidate will be extremely detail-oriented, have strong administrative and organizational skills, proven track record in project management and event planning and most importantly have strong verbal, written, and listening communication skills.DepartmentCommunications & Public Engagement What you'll be doing:Oversee production of the gallery’s audience development and client cultivation activities, including but not limited to the planning and execution of exhibition-related events, global art fair events, miscellaneous cultivation events, and a wide range of public programs, including oversight of Pace LiveProduce large-scale events primarily at Pace Gallery’s eight-floor New York gallery, and at other locations globally when requiredCollaborate with other departments to create event strategy- Coordinate all logistical aspects of events management, including the creation of timelines and production schedules to manage all aspects of the project from an internal and external standpointLiaise with various vendors, including but not limited to catering and staffing services, A/V, floral, rental companies, and external venuesCoordinate with Head of Client Relations and other internal stakeholders, including the global sales team, on guest list managementOversee overall event budget, expense tracking and invoice processing with FinanceAddress potential problems and analyze risks to create solutionsManage Events Managers and other gallery staff assisting eventsMonitor and develop a detailed knowledge of artworks in the gallery’s inventoryAssist Dealer with incoming events and hire requests from external sourcesWork in partnership with several departments across the gallery to execute events, including but not limited to Marketing, Content, Public Relations, Sales, Operations, and gallery support teamsHandle customer complaints and correspondenceEnsure brand qualityEnsure that all legal, health, and all other regulations are followedWhat you'll bring:Bachelor's degree in Communications, Marketing, Planning, Art History (or related field)5-7 years of experience leading the execution of all aspects of an event5-7 years of leading a team5+ years of progressive experience in event planning, project management and design5+ years of proven sourcing and negotiation experienceExperience executing large-scale events of 200+ attendeesExtensive multi-tasking skillsDetail orientedExcellent multi-level communication skillsStellar time management skillsAbility to be sales centric and sell the event to interested partiesAbility to find sponsors for the event and activate need and desireAbility to perform in a self-directed atmosphere and work collaboratively with cross-departmental stakeholders to achieve outcomes is requiredAbility to think strategically, conceptually and innovatively is requiredAdvance knowledge of Microsoft Office Suite is requiredProficiency and understanding of virtual meeting and polling platforms (Zoom, Teams, etc.)Ability to learn, adapt and apply new technologiesDemonstrate experience in mobile app usage and integration to increase attendee engagementDemonstrate effective interpersonal skills through effective leadership and other InteractionsDemonstrate and foster strong commitment to achieving goals in a manner that provides a quality experienceKnowledge of best practice in events management and legal, licensing, and permitting issuesBusiness AcumenAbility and willing to travel occasionallyBonus SkillsExperience in transportation, catering and audio-visual servicesCertified Meeting Professional CertificateKnowledge of hotel agreement and license agreement terms and conditions and general hospitality verbiage.Knowledge of industry best practices and trends within the meetings/event industry is requiredExperience executing live, virtual and hybrid meetings, events and webinars and sourcing technology vendors.In addition to an active and progressive work environment, Pace Gallery offers a competitive benefits package, including medical, dental and vision insurance, retirement plans with a company match, flexible spending accounts and commuter benefits.
