Gallery Operations Assistant

The Gallery Operations Assistant will be the first point of contact at our 55th street location. The Gallery Operations Assistant will answer and return the gallery phone calls, assist with data entry, filing, and complete administrative tasks as assigned, while maintaining the highest standards of friendly, helpful, and responsive customer service at all times. This role plays a critical part in bridging all departments under the Art Resources & Operations umbrella together. The Gallery Operations Assistant will offer support to each group and embodying the collaborative inter-departmental approach aligns with Art Resources & Operations departmental goals.



  • Accept and send packages, order supplies and provide general administrative and facility support.
  • Ensure that the client/artist experience commences with a friendly, professional greeting and a helpful attitude, consistent with the experience at other Pace locations.
  • Assist Shipping and Art Resources with maintaining up-to-date records for crating and packing information in Pace’s proprietary database (Palette).
  • Populate daily Art Resources SharePoint schedule.
  • Organize and maintain installation instructions and conservation treatment reports.
  • Assist with annual physical inventory and reconciliation in cooperation with Registrar and Art Handler teams.
  • Responsible for ART metric tracking (viewing, inspection, image request, etc.).
  • Run regular reports to identify gaps in entry of global tags in proprietary database (Palette).
  • Partner with dealer offices and registrars to identify and enter new tags and disseminate tagging standards to relevant staff globally.
  • Facilitate regular visits from vendors regarding building maintenance and security.
  • Arm and disarm the security system for the 55th street location during opening and closing.
  • Support Art Resources & Operations teams with ad hoc projects and tasks.
  • Four-year college degree preferred
  • Professional or volunteer experience in a customer service environment (or equivalent)
  • Demonstrate excellent skills in communicating with a diverse group of people
  • Display accuracy & high attention to detail; ability to multi-task & problem-solve
  • Strong organizational and planning skills
  • Proficient in MS Office
  • Energetic, committed, flexible team-player with a self-starting “can do” approach and a strong sense of initiative.
  • Must possess great phone etiquette
