Events Associate

Pace Gallery is seeking a dynamic, outgoing and detail-oriented Events Associate to join our New York based Communications team. Under the supervision of the Events Director, the Events Associate is responsible for supporting the Events team in the planning and execution of the gallery’s internal and external special events.

  • Together with the Events team, assist and execute the gallery’s internal and external events, including but not limited to opening receptions, exhibition dinners and parties, art fair events, private cultivation events, public programs, and miscellaneous gallery events.
  • Day-of management of certain gallery events (e.g., opening receptions, external events, lecture or panel discussions).
  • Assist with the preparation and/or coordination of budgets, expense tracking, and invoice processing.
  • Liaise with various vendors for event planning and execution, including but not limited to catering, A/V, and rental companies.
  • Maintain guest lists, including RSVPs and follow-ups.
  • Liaise with gallery operations for event staffing.
  • Create and maintain calendar of gallery events.
  • Provide event information to gallery staff.
  • BA Degree required, Art History, Art Business or related degree, and experience working in a museum or art gallery preferred
  • 2-4 years’ experience in event planning in an arts-related field, gallery or museum experience highly preferred.
  • Have a thorough knowledge of, and passion for, contemporary art.
  • Excellent communication and interpersonal skills, with proven ability to take initiative and build strong, productive relationships.
  • Must be extremely detailed oriented to work well in a fast-paced environment.
  • Must be able to work both independently and as a team member.
  • Flexibility to work evenings and weekends for events and/or as needed.
  • Excellent computer skills including Microsoft Word, Excel and Outlook.
