The Executive Assistant to the Founder is responsible for managing the Founder’s day to day calendar, travel, and ad hoc assignments. This role requires communicating with multiple departments and teams across all gallery locations. The ideal candidate for this role will be excellent with time management and organizational skills, handling everything with a high level of professionalism and discretion as you provide support and manage the day-to-day administrative and personal needs. The Executive Assistant to the Founder will take initiative and be able to perform multiple tasks under pressure while maintaining flexibility, a positive and friendly attitude, and patience.DepartmentSalesWhat you'll be doing:Provide administrative and personal support to Founder and Founder’s OfficeAct as a gatekeeper to the Founder by triaging and managing incoming calendar and meeting requestsManage incoming calls to the office and keep a detailed record of callsDraft and track Founder’s correspondenceOrganize daily schedule, with input from Founder’s OfficeManage calendars, both work and personal, and consistently update/remind Founder of upcoming appointmentsSchedule and confirm all appointments; handle all set ups and reservations for lunch, dinners, etc.Coordinate with CEO’s Office and familyCoordinate domestic and international travel; create comprehensive travel itineraries, book reservations, order cars and transportation as neededRemain on call to field any needs and modifications to travel while awayAdministrative duties including filing, copying, and general office management responsibilities (e.g., ordering supplies, organization of office, etc.)Serve as liaison between Founder’s Office and various departments regarding artist accounting and inventory management and trackingAssist with any unanticipated projects or requests – personal and professionalTrack and prepare monthly expense reports through the Certify expense systemWhat you'll bring:Minimum 5 years’ of executive, administrative or personal assistant experience, ideally in art fieldAbility to successfully manage complex business/ personal travel and calendarsExpertise in attention to detail and proactive planningPossess excellent time management skills, able to set priorities, stay organized, and meet deadlinesAbility to work comfortably with employees in remote locations and differing time zoneAbility to work in a high-pressured environment whilst maintaining a calm and professional demeanor.Excellent computer skills including Microsoft Word, Excel and OutlookIn addition to an active and progressive work environment, Pace Gallery offers a competitive benefits package, including medical, dental and vision insurance, retirement plans with a company match, flexible spending accounts and commuter benefits.
