Dealer's Assistant

Pace Gallery is seeking a flexible and experienced Dealer Assistant to support one of our New York based Art Dealers. The Dealer’s Assistant is responsible for supporting the Director of Sales with all sales and artistrelated activities including exhibitions, appraisals, loans, consignments, shipping, and general research projects.

Responsibilities
  • Assist the Dealer in all phases of the sales process and all artist-related activities.
  • Monitor and maintain effective communication between the Dealer, clients and artists.
  • Send out corresponding e-mails to notify our Sales, Registrar and Accounting staff.
  • Coordinate with the Registrar and Shipping department to arrange transportation and insurance of artwork moving in and out of the gallery locations.
  • Maintain invoice files and keep track of client payment reports, particularly with respect to Dealer’s sales.  Conduct extensive research on artworks including provenance, exhibition history, and bibliography, and report information to Dealer.
  • Monitor and develop a detailed knowledge of artworks in the gallery’s inventory.
  • Work with our Public Relations and Research & Archives departments to gather information to provide to clients and artists.
  • Assist Dealer with all incoming client and museum requests.
  • Mark all auction catalogs noting all PG artists’ works. Attach auction results lists to corresponding catalogs.
  • Assist Dealer in communicating with all other departments regarding their artists’ exhibitions; keep all relevant departments informed of any additions or changes in exhibition (e.g., changes works to be included in exhibition, selling prices, etc.).
  • Work with Marketing Department to prepare all promotional material for exhibitions.
  • Manage all incoming calls to Dealer’s office and handle all general inquires.
  • Schedule all appointments on Dealer’s behalf including client viewings.
  • Manage mail, correspondence, Dealer’s calendar, receipt of and responses to invitations; make reservations for lunches and dinners with restaurants and clients.
  • Assist with Dealer’s travel and accommodations with external travel agent.
  • Maintain, monitor and develop client database for Dealer.
  • Manage the organization of the Dealer’s personal office library.
  • Perform general duties such as filing, copying, ordering supplies, office organization, and mailings.
  • Additional responsibilities and projects as assigned.
Qualifications
  • BA Degree preferred in Art History.
  • Minimum of 3-5 years’ experience in an Executive/Personal/Dealer’s Assistant role.
  • Basic understanding of an art gallery environment.
  • Dynamic planning ability.
  • Excellent communication and written skills required.
  • Must have excellent multi-tasking and detail-oriented abilities.
  • Ability to work well in fast-paced, deadline-driven environment.
  • Excellent computer skills including Microsoft Office and Outlook.
