Book Inventory Associate - Publications

Under the supervision of the Book Services Director, the Book Inventory Associate performs all shipping, receiving, processing, and arranging of book inventory and oversees gallery book stock in multiple gallery, warehouse, and storage locations. They will collaborate with multiple departments across multiple locations to support programs and exhibitions requiring book inventory. This position is a full-time permanent role.

What You’ll Be Doing:

  • Support Book Services Director to supply books to all exhibitions and art fairs worldwide.
  • Manage outgoing orders for our galleries, website, and wholesale direct orders.
  • Coordinate all orders with the book warehouse, domestic and international.
  • Coordinate with Pace Publishing’s external printers to ship books to Pace Galleries and associates worldwide.
  • Provide supporting documentation for all orders and follows up on any shipping and delivery delays.
  • Coordinate inventory in various systems Square POS, Lucidea GeniePlus ILS, and through our book warehouse website.
  • Support digital content management; participates in digitization initiatives projects and collection development.
  • Assist all Pace Gallery departments to support programs and exhibitions requiring book inventory.
  • Coordinate with the Finance department to bill outside vendor orders.
  • Create ad hoc and monthly reports tracking sales, book movement, and other reporting as needed
  • Be available for other tasks and projects as directed.
  • Assist gallery staff and customers in locating books.

What You’ll Bring:

  • Bachelor’s degree is preferred (Undergraduate degree in Art History, Museum Studies), or a related field is a plus
  • Minimum of 2 years recent experience in book retail and/or book shipping/receiving environment.
  • Must have experience with international and domestic shipping, receiving and inventory procedures, experience invoicing, including discounts and appropriate taxes preferred.
  • Strong verbal and written communications skills
  • Excellent interpersonal, organizational and project management skills.
  • Must be highly organized, proactive, and detail oriented.
  • Must be able to perform physical activities, such as, but not limited to, lifting heavy items unassisted, and have knowledge of equipment such as hand truck, dolly, weight scale, and postage machine mechanisms.
  • Must be able to interact effectively with management, vendors, and the public.
  • Ability to multi-task, work under pressure, and meet required deadlines.
  • Must be able to work both independently and as part of a larger team.
  • Strong computer skills including Microsoft Word, Excel, Outlook, Square, Photoshop and InDesign.
  • Familiarity with book ordering, from both new and secondhand vendors.

  • A passion for contemporary and modern art books is encouraged.

Compensation estimation for this role is $50,000-$60,000 annually.
