The Associate Director to the COO will work to facilitate communication and manage projects throughout the organization. You’ll assist with coordination, communication, managing workflows and prioritizing of key initiatives geared toward building culture, impacting the gallery’s business, and overall company growth. You will also assist in project management activities across the organization, relaying directives and ensuring progress and accountability at all levels. This is a key position within the office of the COO; therefore, a high level of confidentiality is required. Overall, your position will support a leadership role that aims to bring operational excellence, organizational clarity, cost-effectiveness, and success to a dynamic, creative art sales environment.

What you'll be doing:
  • Assist the COO in managing and executing on diverse projects that require complex coordination of different teams across the organization
  • Assist the COO on projects in any of the following areas:
    • Leadership
    • Business growth initiatives (new locations, integration)
    • Culture development (performance management, organizational clarity)
    • Internal communication (all-staff messaging, internal alignment tools)
    • Software systems and tools (CRM, ERP, integration)
    • Business policies and procedures (HR, legal, sales)
    • Support Budget process through design and execution to foster culture of accountability
    • Artist strategy and sales management, process design and coordination
    • Execute on various projects to support the vision of the CEO
  • Assist with prioritizing, organizing, driving next steps and communication to ensure projects are completed and goals are met, including budget and timeline
  • Facilitate communication between groups: including leadership, operational teams, sales teams – among others, to help drive initiatives forward
  • Help run an office that balances long term and large-scale strategic initiatives with daily to-dos, people management, and problem solving
  • Track company and project goals, provide reports/presentations and other organization frame works as needed Support the Chief Operating Officer as needed, including coordinating calendar, scheduling meetings, and office communication

What you'll bring:

  • 2 years’ experience in art gallery, museum or art industry
  • 2 years’ experience in project management
  • 2 years’ experience in management consulting role
  • Bachelor’s in Business or Art
  • Digital fluency with tools to communicate goals, organize projects, and track progress
  • Excellent communication skills and the ability to interface with colleagues throughout the organization
  • Familiarity with, and passion for, contemporary art, and art business, preferred
  • Ability to work independently, prioritize, and manage multiple complex work-streams simultaneously
  • High level of attention to detail and problem-solving skills
  • Experience working with confidential information and ability to act with extreme discretion
