Art Resources Coordinator

Palo Alto

The Art Resources Coordinator, Palo Alto, oversees and facilitates all gallery art installations (exhibitions and viewings) as well as off-site installations for clients/special projects. The Coordinator manages all art operations for this location including logistics, art handling, prep, signage, lighting, facility maintenance and related needs. This role works closely with the Palo Alto Managing Director, Exhibitions Manager and Registrar as well as the New York Art Resources Team.

Responsibilities
  • Plan, manage and execute install/deinstall of all exhibitions and client viewings
  • Ensure safe and proper handling, installation, and packing of all artwork
  • Prepare gallery space for exhibitions and viewings including all prepping, painting, patching, lighting, and installing
  • Receive and release artworks and maintain updated inventory records/movements, including uploading all BOL’s
  • Capture artwork packing information and ensure upload to inventory system
  • Oversee and arrange client installs upon request
  • Interface with sales staff and artists on bringing exhibitions to fruition
  • Arrange for all local and domestic artwork movements, including shipping of sold artworks
  • Book, manage and direct third-party installation crews
  • Strategize and identify opportunities for consolidated artwork movements and overall cost savings and ensure implementation
  • Track where empties are kept; manage off-site inventory/storage
  • Work with local vendors and Global Exhibitions team to maintain Pace look for all exhibitions
  • Oversee all gallery maintenance and create and implement necessary organizational systems
  • Liaise with Marketing and Design on exhibition signage
  • Liaise with Registrar team on insurance limits
  • With Registrar, condition check artworks and update SharePoint/Palette with relevant information
  • Additional duties as assigned
Qualifications
  • Minimum 5 years’ experience working for a gallery, auction house, artist, or museum
  • Knowledge of best practices and materials for handling, installing, and packing artwork
  • Must have a diverse understanding of different mediums and materials and experience installing a wide range of artworks, including large sculpture, media-based artworks, etc.
  • A proactive, positive attitude and ability to work well as part of a small team is essential
  • Ability to clearly communicate with supervisors and fellow preparators is required
  • Must have basic computer skills along with familiarity of database programs/software, Outlook
  • BA in Art History or related field preferred
