The Shipping Director oversees the Shipping Department and is responsible for the New York team’s efficient, timely fulfillment of all shipping requests and related administration for domestic and international sold, approval, purchase, intra-gallery inventory and non-exhibition consignment movements. The Director is responsible for maintaining and reporting on the shipping budget, setting and regularly evaluating gallery shipping standards, processes and protocols and also serves in an advisory/troubleshooting capacity on all Pace Gallery shipments upon request. The Director ensures smooth, efficient project management and prompt responses to dealer office requests, Palette record updates, proper collection of BOL's/AWB's and enforces compliance with gallery policy regarding sales tax collection and related shipping protocols. With other Art Resources Department heads, the Shipping Director is responsible for contributing to the establishment of and adherence to best practices related to artwork packing, storage and movement and related internal processes and protocols.

The Shipping Director is a reliable, experienced people manager with a proven ability to collaborate with and work effectively across departments while maintaining and fostering a positive, supportive team dynamic. A high level of experience and comfort with packing and shipping best practices for artworks of all media as well as a passion for providing exceptional client services is required. A flexible attitude and calm demeanor, responsiveness, strong communications skills, confidence interacting with sales staff, clients and artists and the ability to prioritize and juggle multiple tasks at once is essential.


Shipping & Registrar

What you'll be doing:

  • Lead New York Shipping Department’s fulfillment of domestic and international sold, approval, purchase, intra-gallery inventory, non-exhibition consignment, and any other assigned shipping, ensuring team’s timely response to and facilitation and satisfactory completion of all dealer office and other departmental requests.
  • Collaborate with regional Pace shipping team members to ensure compliance with and global consistency of shipping policy, protocol and procedure.
  • Responsible for ensuring team compliance with and enforcement of Pace Sales Tax policy and related sales tax collection; liaise with Sales accounting team on as-needed basis to troubleshoot sales tax-related questions and issues and effectively navigate with sales offices and clients while ensuring high level of client experience.
  • Responsible for collaboratively creating and maintaining exceptional client experience at all touchpoints, with focus on high level of service, courtesy, helpfulness and attention to detail.
  • Manage and delegate team dealer office/regional assignments and assignments of any special projects or additional responsibilities.
  • Manage department personnel calendar; approve all team hours, PTO, etc.
  • Mentor, support and help to develop all Shipping team members; provide constructive performance feedback and work to create a positive, team-oriented work environment within the team and as part of the greater Art Resources Team.
  • Liaise with internal departments and outside vendors, shippers, framers, fabricators, artist’s studios, museums and clients.
  • Provide shipping support and expertise to Registrar, Local Art Resources and Global Exhibitions Teams as needed.
  • Assess and advise as needed on the safety and effectiveness of packing, suitability of mode of transport and economy of all shipments.
  • Serve as direct contributor in facilitating dealer-office shipping requests for assigned dealer offices.
  • Follow each managed shipment from start to finish and act as Pace point person for shipping agents, vendors and clients.
  • Ensure team logging of all artwork movements and uploading of BOL’s, AWB’s, etc., to Palette records in a timely manner.
  • Ensure department’s proper coding and consistent, timely submission of vendor invoices to AP.
  • Maintain and continually grow working understanding of US and international tax and customs regulations.
  • Lead and enforce Pace shipping protocol by setting the standard: proper shipping form completion, policy compliance, timely record updates, etc.
  • In collaboration with HR and greater Art Resources Team, contribute to new staff on-boarding and appropriate training, including post-training new-staff check-ins.
  • With other Art Resources Team Department Heads, evaluate the need for, plan and implement regular staff “continuing education” and/or shipping “best practices” workshops.
  • With other Art Resources Team Department Heads, develop and implement systems and procedure for consistent gathering and uploading of packed artwork dimensions to Palette.
  • Manage dealer and client expectations as they pertain to cost and deadlines; ensure high level of service for internal and external clients.
  • Manage shipping department budget.
  • Strategize and identify opportunities for consolidation, efficiency improvements and overall cost savings across managed area and ensure implementation.

What you'll bring:

  • Minimum 8 years’ experience in logistics and/or client services for either a museum, fine art gallery, auction house or fine art shipping agent
  • Proven people-management experience and aptitude
  • Must have proven experience and a high level of confidence with booking diverse air, truck and sea freight fine art shipments and the ability and expertise to effectively get ahead of and trouble-shoot complex packing and shipping issues
  • Must have a strong understanding of different artwork mediums and materials and related packing and shipping sensitivities and the ability to translate that knowledge into actionable recommendations consistent with packing best practices
  • Must possess excellent knowledge of US tax and international insurance and customs regulations, as well as import and export documentation
  • Excellent computer skills (Microsoft Office) and strong familiarity with database programs
  • Must possess a professional, positive attitude and the communication and interpersonal skills to work effectively with vendors, clients, and co-workers
  • Must be extremely detail-oriented and organized with a strong work ethic and the ability to manage a heavy workload while efficiently and effectively prioritizing responsibilities to meet deadlines and deliver results
  • Proven experience managing budgets is essential
  • BA in Art History or related field preferred
