The Executive Assistant, CEO’s Office is responsible for managing the CEO’s day to day calendar, travel, and ad hoc assignments. This role will also provide support to the CEO’s Sales Manager and Chief of Staff in artist liaising, exhibition coordination and sales.

What you'll be doing:
  • Provide administrative and personal support to CEO and CEO’s Office 
  • Manage incoming calls to the office and keep record of calls.
  • Organize daily schedule, with input from COS
  • Manage calendars, both work and personal, and consistently update/remind COS/Executive Office about upcoming appointments.
  • Schedule all appointments; handle all set ups and reservations for lunch, dinners, etc. 
  • Coordinate domestic and international travel; create comprehensive travel itineraries, book reservations, order cars and transportation as needed
  • Input client data into the CRM; manage CRM data on behalf of the CEO’s office
  • Assist with event coordination, primarily in managing guest lists
  • Assist with sourcing gifts for clients and artists
  • Administrative duties including filing, copying, and general office management responsibilities (e.g., ordering supplies, organization of office, etc.).
  • Assist with any unanticipated projects or requests.
  • Assist with all exhibition coordination that fall within CEO’s office
  • Assist with artist liaising where applicable 
  • Track and prepare monthly expense reports through the Certify expense system
What you'll bring:
  • BA and/ or MA in art history, art administration or a related field 
  • Working knowledge of contemporary art or art world experience a plus
  • Proactive planning ability combined with keen attention to detailed
  • Possess excellent time management skills, able to set priorities, stay organized, and meet deadlines
  • Ability to work comfortably with employees in remote locations and differing time zones
  • Flexibility in work priorities, hours and locations. Occasional travel required.
  • Excellent computer skills including Microsoft Word, Excel, and Outlook
  • 2-5 years of executive level administrative support
  • Personal assistant experience a plus
